When setting the date of your fundraising campaign,
consider your organization's activity calendar so
that your sale does not conflict with other events
already scheduled. |
|
In
preparation for your kickoff, prepare two newsletters.
The first newsletter is sent home to parents about
two weeks before the kickoff to advise them of what
your group will be doing and how this will benefit
the participants. The second newsletter is sent home
on the day of the kickoff. It discusses the sale dates,
cash procedures, products and reminds them of your
goal. |

Prepare a participant sales kit using the materials
supplied in your Sunsweet sales kit order. Include
the second newsletter, a product brochure for each
program you are selling a 2 part carbonless order
form and a prize brochure (if you are using a Sunsweet
prize program in your campaign). |

Prepare a display case showing any product samples,
and any prizes you are offering participants. Shortly
before or in conjunction with your kickoff, unveil
the display to intensify enthusiasm for the campaign.

A very successful technique for raising participant
awareness and involvement with the upcoming fundraising
campaign is to hold a poster contest a short time
before the kickoff. |
|
Sunsweet includes two progress thermometers in your
sale kit order. These are a great visual aid for keeping
everyone informed of how the sale is progressing.
Place your thermometers in prominent places throughout
the building and keep them updated. |

|
A great
sales kickoff assembly leaves everyone super-charged
for the sale. It's an event that explodes with information
and inspiration. At Sunsweet, we call it the Keep
It Simple System, with the emphasis on Simple:

Use daily announcements, news updates, review songs,
tell jokes or whatever it takes to keep the spirit
and momentum of your sale going during the selling
period. Keep the progress thermometers up to date.
Offer daily draw prizes, such as a money jar, movie
passes, etc. for sellers who return with new sales. |

Remember to emphasize the importance of politeness
when participants introduce themselves to others as a
representative of your organization. Also, review cash
procedures and ensure it is understood by all that
cheques are to be made out to your organization (not
to Sunsweet).

PREPACKAGING PER PARTICIPANT |
|
|
|
|
|
If using our
Prepackaging Per Participant service, please observe the
guidelines listed below. Following these few steps will
allow us to process your order quickly. |
|

Participants are to fill in the item code, quantity,
and price on their order form.
-
Please
ensure that the participant's name, his or her
teacher's/leader's name and class number appear
on every form. If a participant has more than one
form, please staple them together.
-
Please
verify that all information is legible, correct, and
complete, then separate the WHITE copy of the order
form from the rest of the order form.
-
Return
only the WHITE copies of the order form to Sunsweet.

Collecting
Orders |
|
Place all the WHITE copies
of each participant's order forms into a 10" by 13"
Class/Team envelope provided in your sales kit. Please
complete ALL information on the outside of each envelope. |

School/Organization Envelope |
|
|
|
Insert all
class/team envelopes into the 15" by 18" School/Organization
Return envelope. Complete all the information requested on
the outside of the envelope, then seal and forward it to
Sunsweet, PRE-PAID. If you require more than one Return
envelope, please ensure that all the applicable envelopes
are taped together very securely. Your order will be
processed and shipped to you within three to four weeks. |

PRE-SOLD SALES |
|
RECEIVING AND DISTRIBUTING YOUR ORDER |
|
(Read this
section only if you are conducting a pre-sold sale with
prepackaging per participant.)
At the end
of sale, collect all brochures and order forms, totaling
the orders. Total the prizes separately. Add up the
class/team totals for a grand total. Your Sunsweet sales
kit includes Master Order forms for ordering product. Use
this form to specify items and quantities your wish to
order.
This can
be accomplished two ways:

Accepting Delivery |
|
When your
product arrives, immediately count all boxes. If you
discover any damaged boxes or shortages, ask the driver to
make a notation on his shipping papers and have him sign.
Packing slip(s) listing the contents of all boxes shipped
are located in the last box of your shipment, marked with
a bright orange sticker.
If you
discover any damages, shortages or overages, report them
to Sunsweet as soon as possible (within 24 hours please!).
Sunsweet
will ship any missing products to you at no charge if we
are notified within 24 hours of the arrival of your order.
Please note that occasionally customers find that an item
they thought they had ordered was not in fact ordered in
the first place. In this case, you would need to place a
re-order for the missing items.
If you
have damaged items, Sunsweet's customer service
representative will provide you with instructions.

sale.)
All
Pack-To-Participant boxes are labeled with your participants'
names and class/teams to assist locating specific class/team
and participant shipments. Before distributing your participants'
carry bags, please verify the contents of each bag with
the Participant Summary sheet enclosed with the products
in the bag. Sunsweet prides itself in filling accurate
orders with the assistance of bar code scanning! This,
of course, alleviates any order discrepancies.
Distribute
each carry bag to its appropriate participant.
|

this part only if you are NOT conducting a Pack-To-Participant
sale.)
Arrange boxes
in the same sequence as the product appears on the brochure.
Using the Sunsweet carry bags provided with your order,
fill each bag with the appropriate products and quantities
in accordance with the individual participant's order
form. After you have completed filling the order: include
1 (one) money envelope and the order form in the carry
bag. Make sure all bags are thoroughly checked before
distributing them to participants.
|
|
We suggest you hold off
for three to five days and then place your re-order for
all your additional product requests at one time. This
will reduce the number of shipments, shipping and handling
charges and the number of invoices you'll receive.
|
|
Returns |
|
Sunsweet accepts product returns up to 30 days after
it was delivered to you. All returns must be given
an Authorization Number by Sunsweet before they can
be accepted. All returns are to be sent freight
prepaid by
you,
except when goods are damaged or defective. Returns
will not be accepted without a Return Authorization
Number and freight prepaid unless authorized in
advance by the Customer Service Supervisor. |
